Job Description

Would you like to be part of creating a world where people are actually excited to start their workday (the mission that drives your organization)? Does the idea of being an integral and highly valued driver of scaling a business excite you? And would you thrive working flexibly and remote, constantly learning new things, getting to wear multiple hats (both in the big picture and in the weeds), using all parts of your brain, and having a sense of ownership in your role?

If so, and if you are smart, proactive, extremely detail-oriented, analytical, reliable, and intuitive, you may be a great fit as our Operations Manager. You would leverage your strengths in a wide variety of responsibilities that would continuously improve our operations and help our clients build businesses where their teams are happy and set up for success because they are such incredible fits.

We are a team growth strategy firm that helps our clients make phenomenal hires with long-term retention. Depending on their needs, we do this by either providing them with all the tools and training they need to make great hires themselves or by doing the deep-dive candidate vetting for them. Because deep discovery and strategic planning are always conducted prior to execution, all services result in extraordinary teams that are highly aligned with company goals, culture, vision, and needed skills.

What you can expect from us upon hire:

  • Opportunity to be able to truly make an impact.
  • Enthusiastic support and appreciation for your proactivity, organization, follow up, attention to detail, creativity, resourcefulness, and out-of-the-box thinking.
  • Flexibility and the ability to work remotely during hours that work for you.
  • Professional Development and support for your continuous learning and growth.
  • Competitive compensation.
  • Ability to work in a company that lives and breathes its core values of Excellence, Innovation, Kindness, Learning/Growth, and Freedom/Joy.
  • Depending on your preference, the ability to either work part-time (20-30 hours per week) or full-time (see below for how this works).

What we’ll expect from you and what you'll be doing:

  • Reliability (consistent availability, work quality, and meeting deadlines without reminders), responsibility, and a proactive self-starter with a need for very little direction (yet able to ask good clarifying questions to confirm understanding of assignments), with an uncanny ability to anticipate needs.
  • Creating interview transcripts from messy and sometimes cryptic typed notes (requires excellent mystery-solving skills, researching terms you don't know, using critical thinking to ensure everything in the transcript makes sense and copy editing to make it a readable, understandable summarized conversation for our busy executive clients). Depending on how many interviews we had that were strong enough to send a candidate on to our clients for review, this can occupy anywhere between 2-20 hours per week. It totally varies.
  • Running operations in various systems (requires the ability to figure out technology on your own and excellent attention to detail), including, but not limited to: Recruitee (applicant tracking system), MS Outlook, a wiki where we keep our SOPs and client notes, Excel, Expensify, WordPress, and many more. This varies, and can take between 2-10 hours per week.
  • Creating reports (e.g. budget status reports, expense management, conversion reports, etc.), analyzing data in those reports, and making data-driven recommendations to improve operations. This requires pulling data from software and spending decent chunks of time in spreadsheets). This is a very small portion of your job in terms of time spent but is very important and of high value.
  • A wide variety of other responsibilities depending on your interests and what you're best at, e.g. helping us build job simulations for our clients, keeping our website updated, editing videos, etc. We've got a long list of projects that we'd love to do, which just need a talented team member's time and attention. We also value ideas from team members for projects that would be valuable.
  • Conducting initial phone screens with candidates, taking comprehensive notes of the entire conversation, and writing lists of pros/cons about potential fit. If you work full time and are on the high end of the salary range, you'd be spending 15-20 hours per week on this. If you are full time and at the low end of the salary range, then it would be 5-10 (unless you want more). If you work part-time, you could optionally skip this responsibility entirely if you are on the lower end of the range.

Requirements:

  • Proven experience (more than 3 years minimum) real-world business experience producing deliverables and results in a variety of roles in a business setting.
  • Bachelor’s degree preferred but not required.
  • Authorization to work in the U.S.
  • Preferred, but not required: Experience working in a company that had clients across a wide variety of industries.
  • Preferred, but not required: Successful experience hiring and/or managing team members or contractors.
  • Excellent written communication skills with a pet peeve of typos.
  • Adaptability, resourcefulness, solution focus, a drive for continuous improvement, organization, follow-up, and attention to detail.
  • Excellence at managing expectations and risks, and proactive communication.

Compensation will range between $50–80K, depending on experience, skills, education, and performance for full-time employees. Performance-based bonus profit sharing on any impact you make to the bottom line. This is optional, but if you can show direct or indirect savings or revenue based on your contribution, we will share profit. Benefits include a health insurance stipend of $600/month if full time, simple IRA with 3% matching, professional development via courses, books, mentorship, etc., and 5 weeks PTO (including sick days and holidays).
