Job Description

Purpose

Organize, facilitate, and document projects in a timely manner, aiding target profitability and billable work production goals. Construction has become litigious and what is not documented did not happen. This position is all about documentation.

Responsibilities:

  • Works closely with and reports to the Project Manager
  • Handles communications on the project level with field crew, management and customers
  • Sets job schedule, monitors and summarizes the progress of the project using Project Manager’s supplied information
  • Prepares reports for upper management regarding the status of the project
  • Assist PM with note taking, phone calls and scheduling as necessary to facilitate their movement from site to site.
  • Create job scopes, locations, and processes in Salesforce based on quotes
  • Manage and document changes to the project scope, project schedule, and project costs
  • Monitor and track scope progress on each project
  • Ensure that all projects are delivered on-time, per contracted scope, and within budget
  • Order specialty materials or large quantities of standard materials for all projects.
  • Document all communications in writing
  • Request, create, send and maintain comprehensive project documentation (Submittals, Warranties and all other project required documentation)
  • Document and issue change orders as necessary
  • Coordinate Job Handoff meetings with Sales
  • Perform risk management to minimize project risks
  • Use and continually develop leadership skills
  • Attend conferences and training as required to maintain proficiency
  • Perform other related duties as assigned
  • Remove obstacles and put out fires


Requirements and Skills:

  • At least 2 years of commercial construction subcontractor experience
  • Experience with AIA and progress billing
  • Commercial digital takeoff experience
  • Experience in project management and documentation
  • Experience in coordinating with multiple teams
  • Computer proficiency in CRM/online management tools (experience with Salesforce is preferred)
  • Ability to read and interpret company financials
  • Efficiency in resource (people and equipment) allocation
  • Ability to read architectural plans and technical specifications
  • Experience in working with contracted scopes and identifying potential change orders
  • Fluency in English and Spanish is preferred
  • Experience with ClickUp, Slack, Salesforce, and Gsuite are preferred
  • Willing to work US day-shift (approx. 8:00 a.m. to 5:00 p.m. EST)
  • Fluency in English and Spanish is preferred
